Case Study · Google Workspace

Running a bus fleet from one connected system.

Turning vehicle records, monthly obligations, EMI schedules, and daily fleet operations into one connected way of working — built on the Google Workspace the business already used.

One vehicle. One record. One place to check.

01 · The business

A fleet with many moving parts — literally.

Our client operates a growing fleet of passenger buses across multiple routes. Vehicle documents, fuel records, maintenance schedules, loan repayments, and staff details were spread across paper registers, personal spreadsheets, and phone reminders.

As the fleet grew, keeping track of paperwork, service dates, and finance schedules by memory or register became increasingly risky.

The business didn't need more registers. It needed one place to see what needed attention.

02 · The challenge

One missed date away from a real problem.

Every vehicle carries recurring obligations on its own timeline. Missing one could mean a fine, a vehicle off the road, or a breakdown that scheduled service could have prevented.

  1. Registration, insurance, permit, fitness, and tax status for every vehicle.

  2. Fuel consumption and mileage tracked accurately per vehicle.

  3. Maintenance and service schedules planned and logged.

  4. EMI schedules and due dates visible across financed vehicles.

  5. Drivers, conductors, and ground staff assignments, licenses, and shifts.

  6. Early warnings before important dates were missed.

03 · The approach

We started with the vehicle, not a generic asset template.

We looked at what actually needs to be true about each bus: its documents, running costs, service history, finance status, and assigned workforce.

Built inside Google Workspace.

The business already used Google Workspace, so the system was built using AppSheet and Web Apps included in that subscription.

The goal: one record per vehicle, one place to check it, and a warning before anything expired.

04 · How it works

One record per vehicle. Everything attached to it.

Every bus has a single digital record connecting its documents, fuel and mileage history, service log, EMI schedule, and assigned staff.

Loan & EMI

Loan details and EMI due dates tracked alongside the operational record.

Workforce

Key Date Alerts

Advance alerts for recurring obligations so important dates aren't caught at the last minute.

05 · What changed

A fleet that manages itself a little more — and surprises the business a little less.

The outcome isn't a bigger spreadsheet. It's a connected operating system that makes important things easier to see and harder to forget.

  1. Nothing expires unnoticed.

Recurring dates now trigger advance alerts instead of relying on memory.

  2. One record per vehicle.

Legal, financial, and mechanical status can be checked from one place.

  3. Running costs are visible.

Fuel and mileage data is logged consistently per vehicle.

  4. Maintenance is planned.

Service history and due dates are tracked so servicing happens on schedule.

  5. Finance meets operations.

EMI schedules sit alongside the vehicle's operational record.

  6. No new software license.

The system runs on the Google Workspace subscription the business already had.

Let's pave the way

Have a fleet, or any set of assets, that's hard to keep on top of?

Every growing operation has recurring dates, costs, and records that get harder to manage by memory as it scales. Let's look at what a connected system inside your existing Google Workspace could do for it.
